Booking on a course, session or activity

Most bookings will be made through the online booking system, please follow the instructions provided and complete all required details. These will then be paid inline with the Online Booking Policy.

For individuals, families, groups and school booking a Private Hire session, and activities not on the online booking system; please contact us via email cycle4adventure@gmail.com and we will arrange date, time, cost and payment method. These will then be paid inline with the Online Booking Policy or the Invoicing Policy

Before booking onto the course, please ensure you have read the course content. This ensures the course will meet your training needs and that you are able to meet pre-requisites, where stated.

All candidates must be 18 years or over for our leadership qualifications and courses. For family or private courses, any under 18 years must be accompanied by a paying adult.

If a course booking is made by an individual, other than the course participant, it is the responsibility of that individual to ensure the candidate is suitable for the course and has the relevant experience.

Upon receipt of your booking and subsequent payment online, you will immediately receive a follow-up email that will require you to complete a Course Participant Form. Once you have completed and returned this form to us we will email you the Joining Instructions for the course.

Important: Cycle4adventure’s acceptance of your booking brings into existence a legally binding contract between us on these terms and conditions. Any term sought to be imposed by you in any purchase order or correspondence will not form part of the contract.

Online Booking

All online bookings must be paid for upon booking, prior to the activity; and are subject to the prerequisites of the session or course being booked on.

Invoicing

We can raise an invoice for companies and organisations wishing to book a Private Hire session/course or booking individuals onto courses. Please email cycle4adventure@gmail.com to discuss your booking.

The full amount of the invoice must be paid within 5 working days of the invoice date. Where multiple activity or course bookings are made, an invoice will be sent at the end of each calendar month, in which there is one or more booking.

PLEASE NOTE if booking a British Cycling MTB Leadership or Go-MTB Instructor training and/or assessment course, for individuals on an open course or a closed “Private Hire” course; the full payment must made a minimum of 3 weeks prior to the start of the course.

We understand and will exercise our statutory right to an administration fee and interest at 8% over base rate under the Late Payment of Commercial Debts (Interest) Act 1998 if we are not paid within our normal terms.

Course Attendance and Certification

Candidates will receive joining instructions via email to the email address provided.

It is the responsibility of the individual completing the course booking online to ensure joining instructions are received by the candidate.

Instructions will be sent via email to the email address provided at the time of booking unless otherwise specified on the Course Participant Form.

If the joining instructions are not received, it is the responsibility of the individual who completed the course booking to contact cycle4adventure@gmail.com to arrange for them to be reissued.

Failure to attend the course will result in the full cost being incurred.

Cycle4adventure will send all correspondence primarily via email to the email address provided at the time of booking. If alternative details are received after the booking form has been submitted, they will supersede the original details and all future correspondence will be sent to the new address.

Where applicable, no certificate(s) shall be issued whilst there is an outstanding balance (including interest on overdue balances and statutory compensation) due to Neil Slater t/a Cycle4adventure.

It may be necessary, for reasons beyond the control of Neil Slater t/a Cycle4adventure, to change the content and timing of the programme, the date, the venue, or the tutor.

Reschedule and Cancellation Policy

All requests for cancellations and/or transfers must be received in writing via email to cycle4adventure@gmail.com

Changes will become effective on the date of written confirmation being received.

The appropriate cancellation charge will apply based on the cost of your booking, as shown below.

Extenuating circumstances are excluded and will be charged at Neil Slater t/a Cycle4adventure’s discretion.

Calendar days notice before the start date of the course Refund applicable:-

29 calendar days or more Full refund minus a £12.00 administration fee

Between 15 and 28 calendar days (inclusive) 50% refund minus a £12.00 administration fee

Between 1 and 14 calendar days (inclusive) No refund will be given

Failure to attend Treated as late cancellation and no refund given

In the event of an individual named on the booking form cannot attend, we will accept substitution of another suitable delegate on the condition that written notification of the substitution has been received by us prior to the course date. Note for MTB Leadership courses, minimum 15 days notice.

If the individual named on the booking form is unable to attend, and cannot or does not wish to transfer their place to another candidate, a percentage of the fee paid may be accepted as payment towards a place on the same or another course that takes place within 6 months following the originally booked event. The amount of the course fee transferred is displayed below.

In the event of there being insufficient numbers booked onto a course Neil Slater t/a Cycle4adventure reserves the right to cancel or postpone the course.

In the event of cancellation of a course by Neil Slater t/a Cycle4adventure, we will endeavour to inform all participants two weeks before the course is due to take place, although please be aware that this is not always possible. All course fees paid will be reimbursed in full, or the payment will be transferred in full to another Cycle4adventure course. Neil Slater t/a Cycle4adventure shall not accept liability for any consequential loss and shall have no liability to reimburse any other costs that may have been incurred, including transport costs, accommodation etc.

Course Provisions

Accommodation, food, and travel are the responsibility of the candidate.

Your bicycle and equipment are your own responsibility. We accept no responsibility for any damage/loss or theft of bicycles or other equipment.

Extenuating Circumstances

If you are unable to attend any of the courses due to extenuating circumstances you must inform Neil Slater t/a Cycle4adventure in writing, by emailing cycle4adventure@gmail.com .

If you were unable to attend due to illness you must provide evidence in the form of a doctor’s note.

Unforeseeable Circumstances

Neil Slater t/a Cycle4adventure shall not be liable to refund of fees or for any other penalty should courses be cancelled due to war, fire, strike lock-out, industrial action, tempest, accident, civil disturbance, or any other cause whatsoever beyond their control.
